Preparing For Your Next Event

I was born and raised in Cleveland, and I could not be prouder of this city than I was during the Republican National Convention!  I went downtown the Sunday before the convention to take in the sights, and I was amazed at how well organized everything was!  Street closures were well marked, the police were at every corner to answer questions, direct traffic flow and keep the peace.  Everyone involved seemed to know where they were supposed to be and what their role was.  Listening to the media coverage, it appears Philadelphia was not as well organized.  While this kind of an event requires many months to plan for, your next event is probably not that different....

Whether you have 10, 100 or 1,000 people coming to an event, the basic planning techniques are the same.  The first thing we suggest is to dedicate a notebook or file for the planning of the event.  Everything associated with that event should be noted here.

Start with picking a date and what type of event you will have.  Will it be a picnic where you will use paper plates and plastic cups and utensils?  Or will it be a more formal event where you might need candles for the table?  What will be on the menu? Will this be a holiday party where extra decorations are needed? Do you need to rent extra tables, chairs or a tent?  Be sure to order those well ahead of the event or you may have difficulty locating a provider.  If you plan ahead, these lists will be come your shopping list!

Shopping ahead for non-perishables is a great way to  reduce the stress of throwing a party.  You can store the items in a cupboard or basement where they will not interefere with your daily living.  You may get lucky and find sales on many of the items you need.

At least a week before the event, make a list of all the tasks which need to be done before the party starts.  Cleaning, preparing of food, setting the table, etc..  Assign blocks of times to your list so you can make sure to leave enough time in your schedule to cross off everything on your list.  Don't forget to delegate tasks to family and friends - this is easy to do if you have a detailed list!  Planning ahead for events will help you host a great party and enjoy it too!
